Switching Holiday Rental Managers: What Happens to Existing Bookings?

You have decided to change managers. Then you open the calendar: a guest arrives on Friday, another has asked for a late checkout, and someone has already paid for next month. Who looks after them now?

A change of manager needs a plan for those stays before it needs a new set of listing photographs. This guide focuses on the bookings already in your diary. For the wider property setup, use our onboarding checklist alongside it.

Separate the management agreement from the booking account

Start by finding out who owns each listing account and who merely has permission to help manage it. These are different roles. A new management agreement does not, by itself, move a reservation from one account to another.

Airbnb says accounts cannot be transferred to a different host and bookings cannot be moved between accounts. Co-host arrangements are available, but they are not a transfer of account ownership. Check the actual setup with the platform before agreeing a changeover date. Read Airbnb’s account-transfer guidance.

For other booking channels, ask their support team what process applies to your property. Avoid assuming that a process which works on one channel will work on another. Do not close an account, cancel bookings or ask guests to rebook simply to make the administration look tidy.

Give every existing stay a named person responsible

Make a working list of confirmed stays, including any guest currently in the property. For each booking, record arrival and departure dates, the booking channel, agreed extras, payment status and any unresolved request. Use booking references in the shared working list rather than circulating unnecessary guest documents.

Then agree who will handle each of these tasks:

  • Guest messages before arrival and during the stay.
  • Check-in instructions and access problems.
  • Cleaning, linen and the final readiness check.
  • Urgent maintenance and permission to approve spending.
  • Checkout, missing items and any unresolved claim.
  • Refund questions and the final owner statement.

“The new manager starts Monday” leaves too much unanswered if a guest checks in on Saturday and stays until Wednesday. Choose who remains responsible for that entire stay, or document the exact handover during it. Both sides should acknowledge the arrangement.

Agree the money separately

A booking date, arrival date and payout date may fall on different sides of your changeover. Keep them separate in the handover record. Ask which party receives the platform payout, which agreed charges remain outstanding and who prepares the reconciliation.

Check the signed management agreement for notice requirements and treatment of existing bookings. Do not assume there is a universal notice period or that all future commission disappears when notice is given. If the wording is disputed, resolve it with appropriate professional advice before making promises to either manager.

Request an itemised closing statement with supporting invoices and a list of anything still pending. Our owner-statement guide explains the categories worth checking.

Change access when the replacement is ready

The outgoing manager may still be handling a live conversation or an open damage request. Removing access too early can interrupt that work; leaving it indefinitely creates uncertainty.

Airbnb explains that removing a co-host removes their ability to message guests and manage the listing. The primary-host role may also need reassignment. Confirm the replacement has the required access before making the change. Read Airbnb’s co-host removal guidance.

Apply the same practical check to keys, building fobs, garage remotes and smart-lock permissions. For a Fuengirola apartment or a home in a Mijas urbanisation, test the whole route from the street to the front door. A working apartment key is little help if the guest cannot open the community gate.

Send guests one clear message

Guests need to know who to contact and whether their arrival instructions have changed. They do not need the history of a disagreement between managers. Keep any update brief, accurate and within the existing booking conversation.

For example, once the arrangements are confirmed: “Your stay dates remain unchanged. From [date], [name/team] will be your contact for arrival and questions during your stay. Please use this message thread if you need anything. We will send your confirmed arrival instructions before check-in.”

This is a template, not a message to send automatically. Change it to match the actual booking and platform permissions. Do not promise unchanged arrangements until you have checked them.

Do a final check before the first arrival

Compare the live calendar with your booking list. Confirm the next clean, check the access instructions and make sure somebody is available for the arrival. Give every unresolved item a responsible person and a deadline. Keep a copy of the agreed handover so nobody has to reconstruct it from scattered messages later.
