How Much Does Holiday Rental Management Cost on the Costa del Sol?

Holiday rental management is normally charged as a percentage of booking income, but the percentage alone does not tell you the real cost. One company may quote a lower fee but charge separately for photography, inspections, consumables, check-ins or emergency visits. Another may charge more while absorbing several of those running costs.

Before comparing proposals, confirm exactly what the percentage is calculated on, whether IVA is included or added, and which third-party expenses remain payable by you.

What does full-service holiday rental management include?

Full-service management is intended for owners who do not want to operate the rental themselves, particularly overseas owners who cannot respond locally when a guest, cleaner or contractor needs help.

There is an important difference between a service being coordinated and the underlying supplier cost being included. For example, cleaning coordination may be part of management while the cleaner’s invoice could still be paid from the booking, charged to the guest or deducted from the owner’s payout. The same distinction can apply to laundry, replacement items, repairs and specialist contractors.

Ask for this to be explained in writing before signing a management agreement.

Home-staging advice, licensing support, professional photography, marketing, cleaning and maintenance coordination, inspections and owner reporting are listed across all three plans.

The current comparison does not include a linen programme in any package, so owners should confirm the separate linen and laundry arrangement for their property. Packages can change, and each home has different requirements. Always check the live pricing page and written agreement before making a decision.

What may not be included in the headline percentage?

Booking-platform fees

Airbnb, Booking.com, Vrbo and other channels charge for distribution. Airbnb’s official guidance describes different host-fee structures, including split-fee and host-only models. The structure that applies can depend on the listing and account setup.

Ask whether platform charges are deducted before or after the management fee is calculated. This detail can materially change the final owner payout.

Cleaning, laundry and linen

Confirm who pays the cleaner, whether the cleaning charge is passed to the guest, who receives that charge, and whether towels and bed linen are supplied, rented or owner-funded. Also ask how stain treatment, replacement linen and unusually heavy cleaning are handled.

A cleaning fee charged to the guest should not automatically be treated as owner profit if it is being used to pay the turnover team.

Consumables and guest supplies

Toiletries, kitchen basics, coffee, bin bags, cleaning products and welcome items can improve the guest experience, but they still carry a cost. SunnyCoast lists consumables as an extra under Silver and included under Gold and Platinum.

Maintenance and emergency work

Management may include arranging the contractor, while the repair, materials and call-out charge remain the owner’s responsibility. Ask whether there is a maintenance markup, an emergency spending limit and a requirement for owner approval above a set amount. A clear approval process protects both the home and the owner.

Utilities and fixed property costs

Electricity, water, internet, insurance, community fees, mortgage payments and property taxes continue regardless of who manages the rental. Air-conditioning and pool use can make utilities highly seasonal. Include these costs in your profitability calculation even though they are not management fees.

Setup, licensing and professional advice

Andalusia’s current official guidance says a tourist rental must follow the responsible-declaration procedure and comply with applicable municipal planning rules. Its current supporting-document guidance includes an updated Land Registry note and documentation concerning community approval. If a management company becomes the registered operator of an existing tourist property, an official change-of-operator procedure may also be required.

SunnyCoast’s plans include licensing support, but that does not mean independent legal, tax, registry or technical-professional fees are automatically included. How to estimate your owner payout before personal income tax

Start with a realistic annual forecast—not a single attractive nightly rate multiplied by 365.

Available nights × expected occupancy × average nightly rate = gross accommodation revenue

Then calculate:

Gross accommodation revenue
minus cancellations and refunds
minus booking-platform fees
minus the management fee
minus cleaning, laundry and supplies paid by the owner
minus maintenance and replacement costs
minus utilities, insurance and community charges
minus applicable taxes
= estimated owner payout before personal income tax

Keep cleaning charges and refundable deposits separate from accommodation revenue unless the contract clearly defines them otherwise.

Personal tax and deductible expenses depend on the owner and require qualified advice.

A simple fee illustration

Suppose a property produces a hypothetical €40,000 in annual accommodation revenue and the management percentage is calculated on that full amount:

  • At 18%, the management fee would be €7,200
  • At 25%, it would be €10,000
  • At 30%, it would be €12,000

These figures illustrate the percentage calculation only; they are not an income quotation or guarantee. They exclude any applicable IVA, platform charges and other property expenses.

The difference between an 18% and 25% plan in this illustration is €2,800. The useful question is whether the additional services, included running costs and guest experience are worth at least that difference for your property.

For a proper projection, model the home month by month. Demand in August is not the same as demand in November, and owner-blocked dates can remove some of the most valuable nights.

How to compare two management proposals fairly

Ask every company to calculate its proposal using the same assumptions:

  1. The same number of available nights and owner-use dates
  2. Seasonal occupancy and nightly rates—not one annual average
  3. The same definition of gross revenue
  4. Platform fees shown separately
  5. Cleaning and laundry shown separately
  6. Management fees and IVA clearly identified
  7. Maintenance assumptions shown separately
  8. The final estimated owner payout

Also ask whether projected figures are based on comparable properties in the same area, with a similar number of bedrooms, amenities, quality and distance to the beach. A villa with a private pool in Marbella should not be forecast using the performance of a small inland apartment, even if both are described as Costa del Sol holiday rentals.

Questions to ask before signing

  • Is IVA included in the advertised fee?
  • Are platform charges included or separate?
  • Who receives and pays the guest cleaning fee?
  • What are the linen and laundry costs?
  • Are there setup, onboarding or smart-lock charges?
  • Is there a markup on maintenance invoices?
  • What can be spent in an emergency without my approval?
  • How often will I receive statements and payments?
  • Will listings remain in my account, and can I retain existing reviews?
  • Can I reserve dates for personal use?
  • What notice is required to end the agreement?

SunnyCoast states that owners remain in control of their calendar and that its current agreement requires 30 days’ written notice to leave. Confirm those terms in your individual contract.

Warning signs in a management quote

Be cautious if a company:

  • Guarantees occupancy or income without inspecting the property
  • Will not define “gross booking revenue”
  • Provides only an annual total without seasonal assumptions
  • Hides platform fees or maintenance markups
  • Refuses to provide itemised owner statements
  • Uses the same revenue forecast for very different properties
  • Promises licensing approval without checking the property and municipality
  • Pressures you into a long agreement before explaining the costs

A credible manager should be comfortable showing both the opportunity and the expenses.

Is full-service management worth the cost?

That depends on the alternative.

Self-management avoids a management percentage, but the owner must handle pricing, listings, messages, problems, cleaners, inspections, maintenance and guest support. For an overseas owner, the practical question is whether those responsibilities can be handled reliably from another country.

The best manager is not automatically the one with the lowest fee. It is the one that produces a strong owner net return while protecting the property, maintaining clear accounts and delivering a guest experience that supports future bookings.
