Appointing a manager is only the beginning. The quality of the handover determines whether the property, existing bookings, access arrangements and owner expectations arrive in one usable operating file. This holiday rental management onboarding checklist is designed for Costa del Sol owners who want a clear, orderly start—especially when they live abroad or cannot attend every handover in person.
It focuses on practical preparation rather than legal or tax advice. Use it before the first managed stay, during a change of manager, or whenever the property’s operating information has become scattered across emails, apps and local contacts.
A useful handover does not simply transfer keys. It gives the manager enough verified information to operate the home without guessing, while leaving the owner with a clear record of what was supplied and what still needs attention. By the end, both sides should know:

Begin with a single summary that identifies the property, its layout and the details that affect day-to-day operation. For an apartment in Marbella or Mijas Costa, this may include a community gate, garage remote, lift access and pool rules. A detached villa may need separate notes for the alarm, garden irrigation, pool equipment, utility cupboards and refuse collection. Record only what is genuinely present at the property.

Note which items are originals and which are copies. Keep a simple access register showing the item, quantity, recipient and handover date.
For digital access, document the device and the process—not public codes in a general handover document. Smart-lock administrator access, alarm permissions and Wi-Fi administration should be transferred through the relevant secure account. Change temporary credentials after testing and avoid sending permanent entry codes through long email chains.
Before the handover closes, test access at the street gate, building entrance, property door and any shared facilities. A key that works at the apartment but not at the community gate is not a complete handover.
The operations file is the practical manual for the home. It should be short enough to use during a guest issue but detailed enough to remove guesswork. Include:

For each stay, record the booking channel, reservation reference, stay dates, guest communication status, arrival arrangement, cleaning plan, special requests and any unresolved issue. Also note who is responsible for each next action. Do not mix this with a forecast or a general calendar screenshot.
